General
- No site passes will be used.
- You may deliver your gazebos and items to site by vehicle from 09:00, then park said vehicle elsewhere if not part of your display. Vehicles must be off site by 11:00, unless they form part of your display of course. Only those vehicles we know about and have agreed will be able to remain on site. If you stay more than 30 minutes on the Docks site you may receive a fine, please limit time to drop off and pick up gazebos etc.
- Note - any vehicles remaining onsite must have a drip tray or cardboard placed under gearboxes and differentials to prevent oil or fluid spills. Similar applies for the BBQ food stall, ensure any drips are not onto the paving.
- Stalls to be set up by 12:15 ready to receive the parade, the event ends at 17:00 when vehicles will be allowed back to collect items.
- Parking off site during the day is the responsibility of the stall holders.
- Location is Gloucester Docks as per the image in here GAFD 2025 . Vehicle entry by point 8 on the image to drop off and collect, the car park to use during the day is entered via point 7, address below:

https://www.gloucester.gov.uk/parking-transport-and-streets/parking/gloucester-city-car-parks/ - If you are a charity and collecting money provide your charity number via [email protected], there is a collective permit for street collections at the Docks. After the event confirmation of total money collected by your charity is required for submission to the City Council, use the same email address.
- We will have 2x large bins sited near to the Soldiers of Gloucestershire Museum, if you generate any rubbish please make sure you use those bins and not the ones generally available.
- There may be changes on the day due to unforeseen circumstances, we will endeavour to keep those affected informed as early as possible.

Safety
- Pedestrians - this is a public space so please be very wary of pedestrians in the area, especially when setting up and taking down as vehicles deliver/remove your items. For any vehicles on display ensure there is proper assistance in siting them to avoid accidents, ask for help as needed. We have volunteers to assist where necessary.
- Water (Victoria Basin) - take all appropriate safety measures especially near the water, please make sure you guard against people from your stall or from the public from falling in, do not allow people behind the stalls facing the SOGM and Food Dock noting we will have safety barriers placed there also.
- Siting Vehicles - siting or movement of vehicles onsite must make use of bandsmen i.e. people to assist and control the siting. We have volunteers to assist where necessary.
- Access via Paju Walk - during the day vehicles may drive to park at the rear of the Dentist and Courts, this is outside of our control. Be wary and allow them the necessary safe access via Paju Walk. Paju Walk is indicated on the layout diagram.
- Access to Mariners Church - we must keep the vehicle access towards the Mariners Church free. Mariners Church is indicated on the layout diagram.
- Fire - if you have a fire extinguisher please bring it with you.
- Wind - in case the wind picks up be prepared to remove stall/gazebo walls to reduce impact. Use weights for the legs, if you don't have specific weights, large bottles of water tied to the legs would be a great idea.
